The University of Toronto Work-Study Program is a financial aid program that provides opportunities for eligible students to be employed part-time on campus. This program is available across all three campuses. There are 2 Work-Study programs each year; the Summer Work-Study Program and the Fall-Winter Work-Study Program.

To be eligible to hire students through the Work-Study Program, an employer must be a member of the U of T faculty and staff and they must be physically on-campus for the duration of the program. Employers may submit multiple Work-Study proposals per program; each proposal can offer a maximum of 2 vacancies.

To be eligible to accept a work-study position, a student must have applied and qualified for OSAP funding as a resident of Ontario; or have qualified for student financial aid from a province/territory other than Ontario; or have received Band funding from the Aboriginal Student Support Program AND they must be registered in at least 60% of a full course load for the program duration (40% for students with permanent disabilities). Eligible students may accept 1 Work-Study opportunity per program.

Responsibilities of a Work-Study Employer:

All Work-Study employers must:

  • Provide appropriate training and supervision to hired students.
  • Ensure students have an accurate understanding of the duties, hours of work and job performance expectations once they are hired.
  • Ensure students are paid promptly for hours worked through the hiring department's payroll officer.
  • Ensure students do not exceed the maximum number of hours worked per week and throughout the length of the program.
  • Introduce the payroll officer and the alternate contact to the students.

Submission and Approval Procedures for Faculty and Staff - Summer and Fall-Winter Work-Study

In order to submit a Work-Study proposal, eligible Faculty and Staff must register with the Career Centre. Once registered, you will be sent a User ID via e-mail which can be used to login to the Career Centre website as a contact with an organization.

Once logged in, select 'Your Jobs' from below 'Your Account' in the left-hand menu. Select 'Add a new job' and then, from below 'FOR UNIVERSITY OF TORONTO EMPLOYERS ONLY', select the Work-Study link and fill in the form with the all required information.

Work-Study Job Proposals must:

  • Be entered under the account of a U of T faculty or staff member who will be responsible in all respects for the Work-Study position.
  • List an alternate contact who is a U of T faculty or staff member. Students, including PhD candidates and Post-Doctoral fellows, are not eligible to be listed as an alternate contact person and may not supervise students hired under the program.
  • Include the telephone number of the department's payroll officer who will be processing the student timesheets.
  • Clearly offer students more than just financial benefits by supplementing the student's current field of study with practical experience or by providing duties (non-clerical in nature) that are useful for exploring future academic programs or career areas.
  • Have been created specifically for the Work-Study program.
  • Be flexible in terms of hours of work to accommodate students' academic schedules.
  • Clearly indicate the academic/career related benefits.

Work-Study Proposals must NOT:

  • Contravene a union agreement, if you are unsure about this, please check with Labour Relations.
  • Be volunteer jobs converted to paying Work-Study positions.
  • Be essential to the department, to the degree that operations would be jeopardized if a student is not hired.
  • Be clerical jobs such as data entry, word processing or filing.

Once submitted, Work-Study proposals will be reviewed by the Career Centre and assigned a job order number, which you will receive via e-mail. This does not constitute approval of your proposal.

The Office of Admissions and Awards reviews all proposals and sends approval e-mails prior to the listing of Work-Study positions.

Due to a limited amount of funding, not all Work-Study proposals will be approved. If there are questions regarding your proposal, you will be contacted by the Office of Admissions and Awards and be asked to clarify and update your proposal.

Salary and Payment Information

The rate of pay is $10.25 per hour plus 4% vacation pay. The salary may be supplemented by the hiring department.

There is no cost to the participating University of Toronto department for the student's earnings or benefits; the academic/career related proposal covers 100% of the student's salary and benefits. The approved positions do not carry any value. Funding is based on the student's eligibility, not the specified job description. Funding comes from two sources: the Ministry of Training Colleges and Universities and the University of Toronto.

If a student works over the number of maximum allotted hours, the department and/or the student must repay the Work-Study program for all excess hours.

2012 Summer Work-Study Program Highlights

Eligible students are able to work a maximum of 12 hours per week, up to a total of 90 hours between May 14th, 2012 and July 31st, 2012. In order to be eligible, students must be enrolled in 60% of a full course load or 1.5 credits over the summer term from May to August (40% or 1 credit for students with permanent disabilities) and must have applied and qualified for Summer OSAP funding as a resident of Ontario; or have qualified for student financial aid from a province/territory other than Ontario; or have received Band funding from the Aboriginal Student Support Program (proof required).

All Summer Work-Study approval e-mails will have been sent to eligible employers informing them that their Summer Work-Study positions have been accepted into the program

Tuesday May 1st, 2012
Approved Summer Work-Study jobs will be live for students to view and apply at www.careers.utoronto.ca

Monday May 14th, 2012
Eligible students who have been hired, submitted their completed Work-Study Hiring Form and received approval from Admissions and Awards may begin their employment

Thursday May 31st, 2012
Deadline date for students to submit completed Work-Study Hiring Form to Admissions and Awards
